Unloading and Gate Entry

On arrival of the vehicle, the driver must handover the documents to the security/Inward Supervisor.

The security Supervisor / Inward Supervisor should verify the documents and ensure the below mentioned documents are available.

  1. GST tax invoice. (Shipments which is received from Supplier / Production Unit)
  2. GST tax invoice. (Interstate Shipments which is received from same client WH or Branch or HO)
  3. STN Outward Document (Shipment which is received from same Client WH or Branch or HO with in same State)
  4. E Waybill (if consignment value greater than 50000/-Rs)
  5. Packing List.
  6. Qc Inspection Certificate. (For the Shipment received from Production Unit)
  7. Transporter docket and details updated.
  8. PO Uploaded in Assure.

Once the documents are verified and PO is available with all the required documents, issue a token with estimated time of Unloading.

A record of date wise token number issued should be updated in the appointment tracker.

If the material arrives as per the appointment time, it should be unloaded within 1 hr of the receipt.

If the vehicle arrives before the agreed schedule, then it will have to be unloaded as per the scheduled time.

If the vehicle arrives after the scheduled time but within the closing time, the material should be unloaded depending on Number of boxes to unload from the vehicle.  A comment should be added in the tracker regarding the late receipt. The same should be highlighted to the client.

If the Warehouse is not able to Unload the Shipment because of any reason like still there is a Vehicles in line for unloading the same should be Informed / Mail should be sent to all stakeholders with the details like Supplier name, PO No, Invoice No, No of Box, Transporter Name, Docket No and Vehicle arrival time.

In case the vehicle is being halted at the warehouse, then the driver should be available with the vehicle and the warehouse will not be  responsible for the same and should be informed to the Vehicle Driver and to all the stakeholders through mail.

During unloading the driver should exit the vehicle and handover the keys to the security guard or driver should exit the vehicle and open the door of the vehicle for Unloading the shipments. Parking wedges should be placed under the vehicle before unloading.

Responsibility of Unloading of boxes is of Supplier / Transporters.
